AI Adoption & Governance

Your team isAlready Using AI. Let's make sure it'sWorking For You.

AI showed up in most offices before anyone wrote a rule for it. A free chatbot on someone's phone, a new feature in the software you run your business on, Copilot switched on in Outlook. We help you find what's in use, set clear rules for it, and put the right controls in place so your people can use AI with confidence and your sensitive data stays where it belongs.

The Reality

AI got in before the policy did.

Most organizations we talk to don't have an AI problem. They have a visibility problem. Staff are finding real time savings with AI tools, and they're doing it the fastest way available: personal accounts, free apps, and whatever features turned on in the last software update.

That's not a reason to panic. It's a reason to get organized. The data your organization is trusted with, whether that's client financials, bid pricing, donor records or constituent information, deserves the same care in an AI tool that it gets everywhere else.

We help you get there with a plan that fits the size of your organization and doesn't bury your team in paperwork.

Can you answer these today?

  • Which AI tools is your staff using right now?
  • Are any of them on personal accounts instead of company accounts?
  • What information has already been typed or pasted into them?
  • Do your software vendors use your data to train their AI?
  • Who at your organization decides whether a new AI tool is approved?

Where AI Already Lives

Three places AI shows up in your organization.

Usually only one of these goes through anyone for approval.

Personal accounts

Staff using free chatbots on their own logins and phones to draft emails, summarize documents and answer questions about real work.

Your business software

AI features arriving through updates to the accounting, ERP, project management and line-of-business platforms you already pay for. Many arrive turned on.

Email, documents and meetings

Microsoft Copilot, Google Gemini and AI note-takers that join calls, read inboxes and summarize files across the whole organization.

Our Stance

AI isn't a threat to ban or a free pass.

There are three ways organizations respond to AI. Only one of them holds up.

Ban it

Use goes underground. People switch to personal phones and personal accounts, and you lose all visibility into what's being shared.

Ignore it

Sensitive data flows into tools nobody approved, under terms nobody at your organization has read.

Govern it

Approved tools, clear rules about what data goes where, and controls that make those rules stick. This is what we help you build.

Our Approach

Find it. Decide. Govern. Enforce.

A practical path from "we're not sure what's in use" to an AI program your team actually follows.

01

Find what's in use

We identify the AI tools and features already active across your people, software and productivity suite, and give each one an owner.

02

Decide what's approved

We review how each tool handles your data and what the vendor's terms really say, then help you move work onto business accounts you control.

03

Write the policy

A clear AI acceptable use policy written for your organization. Short enough that people read it, specific enough that they know what to do.

04

Put controls behind it

We configure the technical controls in Microsoft 365 or Google Workspace that turn the policy from a request into a rule.

05

Train your team

Plain-language training with real examples, so your staff knows what's allowed, what isn't, and why it matters to the people you serve.

06

Keep it current

AI tools change every few months. We fold AI into your existing security and compliance program and review it with you every year.

Built for the Industries We Serve

Your data. Your obligations. Your AI plan.

AI governance looks different depending on what you're responsible for protecting. We build the plan around your industry, not a generic template.

Accounting

Client confidentiality comes first

Returns, financial statements and client correspondence carry professional and regulatory obligations. We help firms use AI in tax and research work without creating disclosure problems, and fold AI into the security plan your firm already maintains.

Construction

Protect bids and project data

Estimates, pricing, drawings and subcontractor agreements are exactly the kind of documents people paste into AI to save time. We set rules that keep your competitive information yours, including for crews on mobile devices.

Manufacturing

Keep proprietary processes private

Product designs, customer specifications and process data are often covered by NDAs. We help you adopt AI in engineering, ERP and the front office without exposing intellectual property.

Nonprofit

Stretch your staff, protect your donors

AI can give a small team real capacity back. We help you use it responsibly with donor and client records, using affordable tools, and give your board a clear answer when they ask about it.

Government & Municipal

Accountable to the public

Constituent data, public records and transparency expectations raise unique AI questions. We help departments adopt AI in a way that holds up to audits, oversight and public scrutiny.

What You Walk Away With

A working AI program, not a binder on a shelf.

Everything is built around how your organization actually operates and documented so you can show it to your board, your auditors, your insurance carrier or your clients.

  • An inventory of AI tools in use, each with an owner
  • An approved tools list and a simple approval process
  • An AI acceptable use policy written for your organization
  • A review of the AI features in software you already pay for
  • Controls configured in your email and productivity platform
  • Staff training with signed acknowledgments
  • AI added to your existing security and compliance documentation
  • An annual review so the program keeps up with the tools

Why Vanguard

We teach this. Then we build it with you.

Our founder, Sam Vance, has worked in IT since 1999, including 15 years managing IT for a large public manufacturer and years running IT for a multi-location professional firm. He speaks and teaches on AI governance, and we bring that same practical approach to every accounting firm, contractor, manufacturer, nonprofit and public agency we work with.

We're not here to sell you more software. We help you get real value out of the tools you have and put sensible guardrails around them.

"You can't govern what you haven't found. Start with the inventory. Everything else depends on knowing what is in use."

Sam Vance, Founder, Vanguard Cyber

Common Questions

What leaders ask us about AI.

Shouldn't we just block AI altogether?

Blocking usually pushes AI use onto personal phones and personal accounts, where you have no visibility at all. A clear policy with approved tools gives you far more control than a ban.

We already pay for Microsoft 365. Doesn't Copilot take care of this?

A business license is a good start, but it doesn't decide what data people are allowed to use, who reviews AI output, or what happens with the other AI tools your staff already use. Governance covers all of it.

We're a small organization. Do we really need an AI policy?

Yes, and it should be a short one. Small teams often have the most AI use per person and the least oversight. A one-owner, plain-language policy is usually the right fit.

Will this slow my team down?

The goal is the opposite. When people know which tools are approved and what they can use them for, they stop guessing and use AI with confidence.

Can you work with our existing IT staff or provider?

Yes. Many of our clients have internal IT. We work alongside them and bring the policy, governance and security expertise.
